The Documentation Challenge
For international coffee buyers, navigating import documentation can be the most stressful part of the sourcing process. Missing a certificate, an incorrect ICO code, or a failed phytosanitary inspection can delay your shipment by weeks and create costly demurrage charges.
Sooca Coffee handles documentation proactively. Here's exactly what you receive with every shipment.
Standard Export Documents
1. Phytosanitary Certificate
Issued by Indonesia's Ministry of Agriculture (Kementerian Pertanian), this certificate confirms the coffee beans are free from pests, diseases, and soil contamination. It is required for import in virtually every country.
We obtain a fresh certificate for each shipment based on a physical inspection by an authorised government inspector.
2. ICO Certificate of Origin
The International Coffee Organization (ICO) Origin Certificate verifies the country of origin and the quantity exported. It includes your specific lot number and is required for coffee imports in most ICO member countries, including the EU, UK, Japan, and USA.
3. Certificate of Analysis (CoA)
Our CoA documents the physical characteristics of your lot:
- Moisture content (target: 11–13%)
- Screen size distribution
- Defect count per 300g sample
- Cupping score (where applicable)
- Processing method and origin
This is your primary quality assurance document.
4. Fumigation Certificate
Where required by the destination country, we provide a certificate confirming fumigation with methyl bromide or phosphine gas. Required for imports to Australia, New Zealand, and several other markets.
5. Bill of Lading & Packing List
Standard shipping documents listing container number, seal number, gross weight, net weight, and bag count. Prepared by our licensed freight forwarder.
6. Commercial Invoice
Issued on Sooca Coffee letterhead, includes HS Code 0901.11 (green coffee beans, not decaffeinated), unit price, total value, and terms of sale (typically FOB Tanjung Priok or Belawan).
Optional Documents
- Organic Certification — available for select Gayo and Kintamani lots
- Rainforest Alliance / UTZ — available on request for certain farmer groups
- Farm GPS & Traceability Report — included free with all Sooca lots
Shipping Ports
Sooca Coffee ships from:
- Tanjung Priok (Jakarta) — primary port for Java, Bali, and Sulawesi origins
- Belawan (Medan) — primary port for Sumatra origins (Gayo, Mandailing)
Transit times: 18–28 days to European ports, 20–35 days to US East Coast, 12–16 days to Singapore and UAE.
